Youth Event Terms and Conditions

Definitions

  • “total amount booked” means the fee payable for the number of persons entered on the event registration website.
  • “the Centre” means Coffs Coast Adventure Centre, 226 Bonville Station Road, Bonville NSW 2450.
  • “the registrant” means the person attending under the booking.
  • “person authorised to make the booking” means the person using the event registration website to make a booking.

Bookings

  • A booking is confirmed by payment of the total amount booked and the Acceptance of the terms and conditions on the event registration website.

Cancellation Policy

  • If a booking is cancelled within 4 weeks of the date of the event, the person authorised to make the booking will be required to pay a $20 cancellation fee PLUS a 10% administration fee.
  • If a booking is cancelled and the Centre is able to secure a booking in substitution of the cancelled booking, then the minimum amount referred to in clause 3.1 will be reduced by the value of the substituted booking.

Refunds

  • The Centre shall not be liable or responsible for any failure in performance of its obligations if caused by means beyond its reasonable control. The Centre will offer a refund in respect to any service or part of the service it was prevented from performing, however unfavourable weather conditions or late arrival do not constitute a failure of the Centre to fulfil its obligations and does not entitle the person authorized to make the booking or the registrant to any refund.

Information To Be Provided

  • Completed Individuals Details (I.D.) forms are required for all individuals attending the Centre which includes outlining any medical conditions, dietary requirements, consent for individuals to undertake activities, for the Centre staff to take photographs of registrants at the event, for individuals to stay at the Centre and to receive First Aid treatment if necessary. This form is completed as part of the registration process and must be completed for all individuals attending the Centre.

Activities

  • All activities with the exception of ‘Stay and Play’ activities will be supervised and instructed by the Centre staff or contractors engaged by the Centre. The Centre, its staff and contractors accept no liability whatsoever in relation to any instructions given by individuals who are not permitted by the Centre, its staff or engaged contractors to give instruction.

Discipline

  • The registrant will be responsible for their own behaviour. The Centre’s management and its engaged contractors reserve the right to ask any person who does not abide by the rules of the Centre and its contractors to leave the property or place of activity. Any conduct inconsistent with the Centre’s beliefs and purposes, including those of the Centre’s contractors will be deemed unacceptable behaviour.

Information, Program and Price Changes

  • The Centre reserves the right to amend, change or withdraw any information, prices and programs without prior notice.

Conditions of Hire

  • Alcohol/Drugs – Under no circumstances is any alcohol or any non prescribed drug to be brought onto the Centre property without the consent of the Centre management.
  • Smoking – Smoking is not permitted within any of the buildings or any areas other than the Centre’s designated smoking areas.
  • Noise – All noise must cease at 11:00 pm.
  • Bedding – the Centre does not supply bedding linen. Individuals are responsible for bringing their own bed linen including a bottom sheet, a doona, blanket and/or sleeping bag, a pillow and pillow case and personal linen such as towels and face washers etc.
  • Beds – the beds in the Centre are double bunks. Mattresses are not to be removed from the beds. Under no circumstances are beds to be laid upon or used without the use of a sheet or sleeping bag. It is the responsibility of the person authorized to make the booking and the registrant to ensure full linen is used. If this is not adhered to, additional charges will be incurred.
  • Fires and Fire Alarms – No fire may be lit without the permission of the Centre. All false fire alarms will be invoiced to the registrant at the rate of $220.00 per false alarm.
  • Hired or loaned items – must be signed out and resigned in at the Centre’s reception by the person authorised to make the booking or the registrant. Replacement cost for lost or damaged items will be invoiced to the person authorised to make the booking or the registrant.
  • Flora & Fauna must not be disturbed so the natural beauty of the property can be preserved.
  • Lighting and Air-conditioning – Please ensure all lights and air conditioners are turned off when your rooms are not being used. General lights out at 11.00 pm.
  • Pets are not permitted on the property.
  • Cabins are to be used for sleeping, resting or study. No guest is to enter the sleeping quarters of the opposite sex and guests are only permitted to access the buildings to which they have been allocated.
  • Menus can be varied by the Centre without prior notice.
  • Photocopy facilities are available on request and with the payment of a small fee.
  • Cleaning – The facilities are expected to be kept in a clean and tidy state, this includes assisting with the cleaning and tidying of chairs and tables in the dining room after each meal. Prior to departure, each group is to leave the Centre property in the way in which it was found. This includes both tidying of rooms and the grounds. All furniture must be returned to its original position and the floors of cabins and conference rooms vacuumed, if required.
  • Property damage and loss – All breakages and losses to the Centre’s property or equipment are to be reported immediately to the Centre management. Any breakages or additional charges shall be paid for by the person authorised to make the booking or the registrant before departure. The Centre has EFTPOS facilities for these payments. The Centre takes no responsibility for the loss or damage to personal property.
  • Damage to activity equipment – All damage to the Centre’s activity equipment is to be reported immediately to the Centre management. Should any damage occur to any activity equipment as a result of a registrant not following instructions or wilfully damaging activity equipment, the cost of the damage will be charged to the person authorised to make the booking or the registrant. Any damages shall be paid for by the person authorised to make the booking or the registrant before departure. The Centre has EFTPOS facilities for these payments.
  • Rates are inclusive of all meals, plus morning and afternoon tea and supper, and the use of facilities on arrangement with the Centre management. Cabins are booked on a 10 person per room or 20 person per room basis depending on the cabin. Allocation of cabin rooms is determined by the numbers booked and confirmed and is at the sole discretion of the Centre.
  • The Coffs Coast Adventure Centre is part of a Christian organisation and as such prohibits the promotion or teaching of any other religion, ethos or any other belief system that is contrary to Christianity whilst using the Centres facilities.
  • The Coffs Coast Adventure Centre prohibits the use of any photographs and/or videos taken whilst at the centre from being used for any purpose unless express permission is granted for such use by the centres management.

Disclaimer

  • The applicant acknowledges that the Centre and its staff will not be responsible for any loss or damage to any property brought on to the Centre premises. Should any claim be made for such loss or damage to property owned by any person associated with the applicant, or any person or body corporate associated with such person, then the applicant will indemnify the Centre and its staff in respect of all such claims.

Application

  • I hereby apply to use the Centre for the stated purpose set out on the event registration website.
  • I agree to pay all charges for the use of the facilities in accordance with the Conditions of Hire at rates applicable at the time of occupancy.
  • I, as the person authorised to make the booking, accept full responsibility for the registrant and to pay for any loss or damage caused by the registrant.
  • I understand that the Centre has the right to cancel hire of the facilities at any time should any use or proposed use of the facilities by the registrant be, at the absolute discretion of the Centre management, inconsistent with the terms and conditions of hire.
  • The Centre and its staff accept no liability or responsibility for any loss or damage to property, or, injury of or to any person and I shall be responsible to ensure that all persons and their guests and visitors are aware of the Centre’s terms and conditions and this disclaimer.

Happy Visitors

I recently had the pleasure to attend the Coffs Adventure Centre with my school for a few days.  I came as an assistant but personally had the most rewarding few days.  I tried things I never would have, stepped out of my comfort zone and achieved things I didn’t think were possible.  By doing this it encouraged the children to push themselves that little bit further and I got the privilege to witness the children I didn’t think would involve themselves in activities just shine. To see them so happy and working as a team was also very rewarding.  The staff were all so fantastic and enthusiastic which also made our stay that much more enjoyable.  Thank you for the experience.
